Job Description:

IEM is looking for a talented and highly motivated part-time Office Manager/Communications Specialist to fill an immediate part-time position on our team. The ideal candidate will

  • understand Christian ministry culture
  • possess a love for God’s people and for the advancement of God’s kingdom
  • have demonstrated experience in administrative roles
  • possess good skills in marketing and communication in order to effectively advance the work of God in India.

The primary role of this position is to ensure the efficient day-to-day operation of the office and to support the work of leadership, both the President and the IEM Board of Directors. We are looking for a self-starter who can manage multiple projects with short deadlines with little supervision. This role reports directly to the President.

This position involves some weekly time in the local office (southeast LA County), weekly trips to the post office and monthly trips to the local printer. Some of the work can be remote. 

 

Skills & Responsibilities for the Office Manager & Executive Assistant include but are not limited to: 

PREFERRED QUALIFICATIONS and SKILLS

  • Love for God and a desire to participate in Kingdom work in India.
  • Knowledge of QuickBooks.
  • Proficiency in Microsoft Office.
  • Ability to multitask well and prioritize work within short deadlines 
  • Highly organized and skilled at time management 
  • Warm, hospitable presence with strong communication skills (written and verbal)
  • Flexible, “easy going” personality that can work with the dynamics involved in running this unique ministry. 
  • Self-starter who takes initiative with very little supervision or direction 
  • Experience as an administrative assistant.

 

RESPONSIBILITIES

  • Manage the monthly prayer letter, helping to edit and fine-tune it, going to printer and arranging timely mailing, etc. 
  • Respond to all correspondence on behalf of IEM: emails, phone calls, letters, etc.
  • Manage donor giving: weekly mail pick up, depositing checks, managing bank accounts, issuing receipts, balancing accounts 
  • Maintain and manage donations, meet with nonprofit tax advisor to reconcile bank statements regularly. 
  • Take notes for all necessary meetings and follow up on action items 
  • Coordinate calendar and all travel and accommodations for President and IEM family members who travel for IEM fundraising trips throughout the year. 
  • Regularly organizing and distributing all mail and packages 
  • General daily office management, including keeping inventory of all office supplies, and running necessary errands.
  • Coordinate the cleaning and stocking of IEM office
  • Work with leadership to execute special projects 
  • Coordinate and anticipate Event Planning. Main annual task is to Plan, coordinate, execute Annual board meetings, arranging venue for board meeting, planning for meals, some hotel stays, etc. Coordinate and execute the printing and mailing of the annual report prior to board meeting.
  • Research various grant opportunities and missions conferences where IEM can provide materials, schedule attendance, etc. 
  • Act as a point of initial contact for any inquiries into ministry within the United States 
  • Respond to phone calls, emails, and letters and work with President and team on proper and timely responses. 
  • Develop a roster of current churches and work to increase outreach to new network of missions-minded churches throughout the US. 
  • Short term missions trips: work with President to help develop vision for short term mission trips to India in January/June. Develop “kit” to prepare prospective visitors on culture, expectations, budget, etc.
