Position Summary:

First Liberty’s Administrative Assistant supports the Chief Development Officer in managing the day-to-day operations of the Development team.

Responsibilities:

 Administrative Support

  • Provide administrative support to the Chief Development Officer, including scheduling meetings, managing calendars, and coordinating travel arrangements
  • Serve as the primary point of contact for the Chief Development Officer, managing incoming inquiries and communications on their behalf
  • Prepare agendas, take minutes, and track follow-up items for department meetings
  • Handle confidential and sensitive information with discretion and professionalism
  • Provide administrative support to the Development team including maintaining shared calendars, organizing team meetings, and helping onboard new staff members
  • Assist in drafting and preparing correspondence, presentations, and reports for the Chief Development Officer’s approval
  • Coordinate communication between the Development team and other departments
  • Monitor departmental expenses and assist in budget preparation and tracking
  • Help process invoices, track reimbursements, and assist with financial reporting related to development activities
  • Update donor and prospect databases, ensuring accurate and up-to-date information
  • Assist in the preparation of reports, donor lists, and other documents
  • Help track key performance metrics and fundraising goals
  • Track key project timelines and deliverables, ensuring that tasks are completed on schedule
  • Assist in managing logistics for team meetings and events related to development efforts
  • Other duties as assigned

 Requirements:

  • Must agree with and sign First Liberty’s Articles of Faith
  • Bachelor’s degree or equivalent experience in administration, communications, or related field
  • 3+ years of administrative experience, preferably in a non-profit or development-focused environment
  • Strong organization skills and the ability to manage multiple priorities and deadlines
  • Excellent written and verbal communications skills, with the ability to draft professional correspondences and reports
  • Proficiency with Microsoft Office Suite applications in an Apple operating system and familiarity with donor management software (Raisers Edge) a plus
  • Strong attention to detail and ability to work independently with minimal supervision
  • Ability to handle confidential information with discretion
  • A positive, can-do attitude with a focus on problem-solving and team collaboration

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer
  • Ability to stand and walk around as needed during course of work
