We seek a highly organized and detail-oriented person that also demonstrates flexibility and strong interpersonal skills. The Administrative Support Specialist would provide support to the daily operation of the Administrative Offices to include but not
limited to the responsibilities listed below.
Primary Responsibilities:
- Answers central telephone system and directs calls accordingly
- Prepares outgoing mail; sorts and distributes incoming mail.
- Maintain office supply inventory
- Requisition of supplies as well as additional clerical duties.
- Review and verify invoices and check requests
- Sort, code and match invoices
- Setup invoices for payment
- Enter and upload invoices into system
- Monitor accounts to ensure payments are up to date
- Research and resolve invoice discrepancies and issues
- Maintain vendor files
- Assist with month end closing
- Responsible for reconciling corporate credit card receipts and statements. This includes general ledger coding and system data input.
- Prepares 1099 forms at year end
- Provide supporting documentation for audits
